Job Function: The job holder is responsible for all aspects of assistance and tasks assigned by Chief Marketing Officer, administration management, departmental HR tasks, Event services and visitor assistance. Also responsible for assisting in Departmental asset purchasing, maintenance and records.
Reports to: Chief Marketing Officer
KEY RESPONSIBILITIES AREAS
Provide optimal admin support to CMO on operations and projects assigned to the teams.
Ensure the effective and frequent flow of information between events team and key stakeholders internally
Provide full support to all internal key stakeholders as part of the projects implementation process and propose new ideas to improve those processes.
Liaison with suppliers, vendors and service providers to ensure smooth department operations.
Oversee venue set-up, breakdown and site clean up as and when required
Recruit, task and coordinate all on-site staff and volunteers
Manage all HR related operation within the department and liaison with HR department to maintain records for staff – offers, agreements, invoices, tasks and responsibilities, remuneration and allowances
Contribute to the post-Event report against budget and objectives
Provide reports on projects and oversee the deliverables to ensure projects are delivered within agreed time-line and within budgets
Liaison with the support department and manage all CMO’s logistics including Event travel and transport, medical, subsistence and accommodation etc.
Create and maintain centralized organization-wide system to optimize contract, records and file management.
Act as a cross-functional business partner for major procurement decisions/negotiations, including managing RFQ processes, analyzing cost-benefit information, drafting, reviewing, negotiating and purchasing contracts that are advantageous for the organization within the department
Create, improve and manage administrative office systems and processes to increase efficiency.
Other responsibilities and duties as assigned.
SKILLS & ATTRIBUTES
Bachelor Degree in Business Administration/Management and at least 3 years’ experience in Admin project planning and delivery role
Excellent communication skills in both English and Arabic
Proficient in IT
Numerate and able to maintain accurate financial and administrative records
Works well under extreme time-pressure
Adaptable and imaginative – someone who enjoys finding solutions to diverse problems
